Who this is for

Subject tutors (math, languages, music), test-prep tutors (SAT, ACT, GMAT, GRE), academic coaches, small learning centers, and online tutoring freelancers.

What goes on a tutoring invoice

Student name and subject. Parents often pay for multiple kids or multiple subjects. Spelling out the student and subject prevents confusion. Format the line: Tutoring sessions — SAT Math — May 2026.

Session count, not hours. Most tutors price by session (typically 60 or 90 minutes), not by the hour. Use quantity = number of sessions, rate = per-session fee. If you do charge hourly, note the session length in the description.

Cancellation policy in Terms. The standard: sessions cancelled within 24 hours are billed at full rate. This is non-negotiable for tutors — without it, you lose disproportionate income to last-minute cancellations.

Package pricing option. A common offer: 10 sessions prepaid for the price of 9. It encourages commitment and improves your cash flow. Mention it in terms even if not applied on this invoice.

Materials line

Workbooks, practice tests, and online subscriptions add up. Either pass through at cost (recommended) or include in your per-session rate. Putting it as a separate line keeps the math transparent to the parent.
