Who this is for

Equipment rental businesses (party rentals, tool rentals, AV gear), vehicle rental services, short-term property rentals (Airbnb hosts who issue formal invoices, vacation rental managers), and any time-bounded rental.

What goes on a rental invoice

Rental period explicitly stated. Not just the quantity — the actual start and end dates and times. Format: Rental — 30' scissor lift — May 13 8am to May 17 5pm. Eliminates the "but I said I'd return it on the 18th" argument.

Security deposit shown separately. Not part of the rental total — its own line so it can be refunded cleanly after inspection. Mark it "refundable" in the description.

Damage waiver / insurance. Optional but common. Show it as a separate line. If the customer declines, mention in Notes: "Customer declined damage waiver — full repair cost charged to customer in event of damage."

Late return language. A daily late-return fee in Terms — "Late return: $X per day" — prevents the slow-creep problem of customers extending without telling you.
