Who this is for

Independent repair shops, mobile mechanics, dealer service departments that do direct customer billing, and specialty shops covering transmission, brakes, exhaust, performance tuning or EV service.

What an auto repair invoice must include

Vehicle identification, every single time. Year, make, model, VIN, and the mileage at drop-off and pick-up. Mileage at service is the warranty anchor. Without it, any future warranty claim becomes arguable.

Diagnostic as its own line, separate from labor. Even when you waive the diagnostic for a returning customer, show it as a $0 line so the customer can see the work was valued and the goodwill was given on purpose.

Parts itemised with part numbers. "Brake pads" is not enough. The customer (or the next mechanic) needs to know what was installed: Brembo P85113 ceramic brake pads, front. That specificity protects you on warranty and helps the next service.

Shop supplies and disposal fee. A small line of around $15 to $40 covering rags, fluids, gloves and the responsible disposal of old parts. Most states allow it; most customers accept it as long as it is named.

State-specific rules to watch (US)

Several US states (California, New York, Massachusetts, Ohio and others) impose specific consumer-protection rules on auto repair. The most common requirements:

Check your state's Bureau of Automotive Repair or equivalent for the definitive list. Wording on the invoice should mirror what the customer signed at drop-off.

Warranty language

The 12 months / 12,000 miles standard (whichever comes first) is the industry default and what most customers expect. State the void conditions clearly on the invoice: repairs done elsewhere, misuse, accident damage, or unrelated failure. Disputed warranty claims tend to go the customer's way when those conditions are missing.
